Public Law Project uses Jooxter flex office solution for easier organization and more efficient management

Public Law Project was looking for a system that would enable them to reserve office space following the government'srelaxation of Covid-related measures. The operations team adds, "We used to do it via spreadsheets. We used to do this with HR, and it was quite time-consuming, but it allowed us to keep track of things". That's when they discovered Jooxter. Thanks to Jooxter, internal logistics and organization were simpler. The flex office changes their organization for the better, towards greater flexibility.

"In order to improve our organization, we looked for a system that would allow employees to reserve or change offices. And when they need to," says Public Law Project.

 

The organization refers to the amount of work that used to be handled by human resources, between e-mail requests, sorting, checking availability and distributing information.

"Today, organization is better because everyone can reserve their own space. They can see in real time who is in the office when. If they need to sit as a team or with a particular colleague, they can consult your colleagues' calendar directly . You can choose to sit next to them if you have a project in common, for example. It's a real time and energy saver for the HR team, but above all, it boosts efficiency.

Public Law Project has around 40 people and 25 workstations. " We closed half of these workstations because of Covid and social distancing." It's a forced rearrangement of spaces to fill staff absences and cope with the challenges, particularly economic, of the crisis.

Maya Janjic assures us: "I'd say the main difference is probably for HR. We no longer have to check who's there, who's going to be there, or deal with check-ins. As a result, everyone is autonomous and can book or cancel a reservation. They can change offices as and when they need to.

"Employees say that the Flex solution helps them in their day-to-day work. The Public Law Project team can see who is in the office during the day and at which desk people are located. This makes it easier to collaborate, work in teams or remotely. The operations team adds, "This encourages autonomy, so they have more responsibility by reserving their own office. So organization is better, the system more fluid."

Administrators can also use the interface on a daily basis. This gives them an overview of all the offices and employees. Maya expands on the subject of how often the application is used internally: "But my colleagues probably use it every week to book their office a week in advance". In fact, it is possible to create recurring reservations. All you have to do is confirm them every day.

 

"I'd recommend Jooxter because it's so easy to use. We haven't had any organizational problems reported by employees, so it seems obvious that they find it easy to use too," adds Elaine.
